0:00 · Labels, your way.

Welcome to Easy Peasy Label Studio. Let's create a product label, customize its layout, and turn a spreadsheet into a ready to print batch.

0:09 · Start with the right size

Choose your label size and orientation. For this example, use a two by one inch landscape label and E A N thirteen. Code one twenty eight supports letters and numbers. Q R handles links or longer values.

0:23 · Separate what scans from what people read

Enter the number that should scan, then add a separate title for people to read. E A N thirteen needs thirteen numeric digits. I T F fourteen needs fourteen. The app preserves your digits, including leading zeros. Test a printed scan.

0:38 · Start with a truly blank canvas

Choose New blank layout to design from scratch. The canvas starts empty. Add text, a barcode, a Q R code, or a named data field. Each new block gets its own input by default.

0:51 · Fill the width. Keep control.

A new barcode fills the label width, including clear scan margins. Drag a side handle to adjust width without changing height. The corner scales proportionally. Pink snap guides help align blocks with the label and with each other.

1:05 · Rotate, and the width follows

Switch to portrait and the barcode immediately fits the one inch label width. Switch back to landscape and it fits two inches. Fit label width also follows size changes, and stays on when you move the barcode.

1:18 · Make the human-readable text stand out

Select a text block and choose Sans serif, Serif, or Monospace. Adjust text size, bold, italic, and alignment. Fit text inside block prevents overflow. Name blocks clearly, like Product S K U or E T I N.

1:33 · Save the design for next time

Give the configuration a name and click Save layout. Open Saved layouts next time to reuse it with new data. Export a layout backup to share the design with a teammate. Font choices and field links stay with the layout.

1:47 · Match spreadsheet columns to your blocks

Choose Bulk labels. Download the C S V template for your custom fields, fill it in, and upload it. Match each spreadsheet column to its label field. One row makes one label. Linked blocks share one mapping.

2:01 · Review before you generate

Review the data checks and preview several rows. Fix missing values or incorrect digit counts before generating. Check long product names and leading zeros. A passed data check does not replace a test scan of a printed label.

2:15 · Generate, download, and print

Choose P D F for compact, sharp label batches, then generate. Download the completed files before closing or updating the app. Print at Actual size, or one hundred percent, with matching paper dimensions. Test one label before the full run.

2:31 · You’re ready for the next print run.

You're ready. Create once, reuse your layout, and print with confidence. The How to use page also covers ShipHero actions, importing an existing label, and installing the app for offline use.

01 / GET STARTED

Make your first label

Choosing a barcode format: Code 128 supports letters and numbers. EAN-13 requires exactly 13 digits; ITF-14 requires exactly 14 digits. Keep leading zeros. Only numeric characters and length are checked; the final digit is neither checked nor changed. Some scanners require a valid check digit and may reject a number that does not have one.

Example: Choose EAN-13 under Code format, enter 5061016033272 as the Barcode value, and PRMNXX02847 as the Label title. The SKU is separate from the encoded GTIN. EAN-13 shows grouped digits and guard bars; ITF-14 shows top and bottom bearer bars. Use the supplier’s GTIN and test the printed label with your scanner. Store GTIN columns as text in your spreadsheet to preserve leading zeros.

  1. Open the generator and choose Create label.
  2. Under Set up your label, choose a label size and orientation, or enter width and height in inches.
  3. Select Code format: QR code, Code 128, EAN-13, or ITF-14.
  4. Enter the Barcode value or QR value—what scans. Add an optional Label title and Footer text—what people read.
  5. Watch the preview beside the controls. Zoom changes only your screen view, not the exported size.
  6. Choose a file format under Download or print, then generate the label.
Try it: enter A05-07-A-02 as the data and WAREHOUSE LOCATION as the top text. Print and scan one label before making a full batch.
02 / FIT YOUR LABEL

Make the text bigger and the code smaller

Under Download or print → Print quality & sizing in the standard layout, the Text size slider scales the text, and the Barcode size or QR code size slider scales the entire code. Barcode width and height change together. These settings also apply to bulk labels.

For more control, choose New blank layout. Select a text block and change Text size (pt); select a code and drag its blue corner or enter its width. New barcodes fill the label width, including their scan margins. Drag either side handle or change Barcode width to adjust width without changing height. The corner handle scales proportionally; QR codes stay square. Switching orientation automatically refits barcode widths, even after a manual width adjustment: a 2 × 1 inch landscape label becomes 1 × 2 inches in portrait, and the barcode block immediately becomes 1 inch wide. Fit label width also follows label-size changes and stays enabled when moving a block. The editor replaces the standard layout’s size sliders.

Text won’t get bigger? Its box may be too small. Make the block wider or taller, shorten the text, or review Fit text inside block. Keep clear space around codes so scanners can read them.
03 / SHIPHERO

Create tag and order-status codes

Expand ShipHero actions and turn on one switch and enter only the tag or status name. Only one switch can be enabled at a time. Leave both off for ordinary labels.

What the switches add to your code
SwitchYou enterEncoded value
ShipHero Order TagPickingshtag__Picking
ShipHero Order StatusReady to shipshos__Ready to ship

EAN-13 and ITF-14 accept numeric GTINs only. The app automatically turns off and disables ShipHero actions while these formats are in use, including in custom layouts.

The prefix appears in the preview and generated code for both Code 128 and QR, including every row in a bulk upload. Use the tag or status name your team expects. If your value already contains the prefix, leave the switches off.

In a custom layout, choose Main value · readable text for a text block if people should see just the name. Code blocks use the selected prefix.

04 / BULK LABELS

Turn a CSV into a batch of labels

  1. Choose your label size, code format, or saved layout, then open Bulk labels.
  2. Upload: choose or drop a CSV. Download a CSV template if you want a starting point. Keep identifiers as text in your spreadsheet so leading zeros survive export.
  3. Match columns: choose which column fills each label field. Your spreadsheet headers do not have to match exactly. Linked blocks share one column mapping. Standard title and footer fields are optional.
  4. Review: every row is checked in the background. Missing code values, unsupported values, and incorrect digit counts are reported by CSV row and block name, with the first issue shown per row. Rows with missing code values are not silently skipped. Click an issue or a table’s View button to inspect that label.
  5. Download the error report, correct your source CSV, and upload it again. Generation stays disabled until all data checks pass. Changing data, format, or layout triggers a fresh review.
  6. Export: choose PDF or PNG, set labels per file, and generate. PDF is recommended for large batches. Download individual files or Download all as ZIP.

Uploads support up to 10,000 labels and 5 MB. CSV row 1 is the header; the first data row is row 2. The preview’s row number counts labels starting at 1. Completely blank lines are ignored. Files retain CSV record order.

A custom layout’s template follows its block fields, including ETINs, item numbers, and descriptions. Create new fields in Customize layout before matching your CSV. Fixed content stays the same on every label.

For large jobs: PDF uses less memory than PNG. PNG exports come in ZIP batches of up to 100 labels. Download completed files before starting another job, updating, or closing the app. If you cancel, completed batches remain available.
05 / CUSTOM LAYOUTS

Design once. Reuse with new data.

  1. Choose New blank layout. The canvas starts completely empty. Add only the blocks you need; each has its own value. Use Edit layout to edit an existing design, or New blank layout to start over.
  2. Click a block’s name or select it on the canvas. Give it a clear Block name, such as Product title, GTIN barcode, or ETIN text. Renaming a block does not change its CSV key.
  3. Enter text or a code value directly in that block’s content input. In bulk mode, the card shows the value from the previewed CSV row. If it says Waiting for CSV data, upload a CSV and match its columns, or switch to Create label to type values manually. Fixed content remains editable and saves with the layout.
  4. Add + Text, + Barcode, + QR, or + Data field. New blocks get independent fields by default, even if you reuse a field name.
  5. To show one value in several blocks, use + Data field → Link to, or select a block and open Link to another value. Linked badges identify the other blocks that update together. Make independent copies the current raw value into a new field for just that block.
  6. For text, choose Font style (Sans serif, Serif, or Monospace), size, alignment, bold, italic, fit, and an optional caption under Text before value. For codes, select Code format and readable digits. Drag blocks to move them; drag the blue corner to scale proportionally. Barcode side handles change width only. New barcodes have Fit label width enabled; turn it on for existing barcodes to fill the label. Pink alignment guides snap blocks to the label edges, center lines, and other blocks as you move them. Turn off Snap & alignment guides for free placement. Expand Position & dimensions for exact measurements.
  7. Name the configuration and choose Save layout. Use Done customizing when you only need to enter values.
  8. Open Saved layouts to choose by thumbnail, use a layout, duplicate it, rename it, or export a backup.

Text fonts: select a text or text data block, then choose Font style in the editor. Sans serif is clean and simple; Serif has a classic appearance; Monospace gives every character equal space. Bold and Italic can be combined. These built-in font choices need no download or subscription and work offline, in bulk labels, and in PNG/PDF output. PDF uses the matching standard font family; appearance can vary slightly by device.

Independent versus linked: a Product name block and an ETIN block normally need different inputs. A barcode and the text displaying that same number can share a field. Linking is explicit; adding another field does not overwrite an existing field’s value.

Saved layouts retain dimensions, block names, positions, formats, fonts, captions, fixed content, and field links. Current data values and CSV rows are not included. Unsaved changes are marked; click Save layout to keep them. Text and QR blocks keep their positions in inches when dimensions change. Barcode widths refit on orientation changes; Fit label width also responds to label-size changes. Check the full layout afterward.

Share or back up a layout: use Export layout to download a .label.json file. A teammate can load it with Import layout. Layouts saved in the app stay in that browser on that device; they do not sync automatically.
06 / START FROM A SAMPLE

Recreate an existing label

  1. Expand Start from an existing label or file, then click Upload existing label and choose a PNG, JPG, WebP, or PDF, up to 15 MB. Use a clear, upright image cropped to the label’s edges.
  2. Enter Label width (in) and Label height (in) for the whole printed label, including margins. Supported dimensions are 0.25–12 inches. PDFs suggest their page dimensions automatically.
  3. For a PDF with multiple pages, select a page and click Read this page.
  4. Review every detected value. Correct text, uncheck unwanted blocks, and choose Use label data for the code that should change with future input or CSV rows. Choose Show label data here for matching human-readable text.
  5. Click Create editable layout. Adjust the blocks in the editor, then Save layout.

The importer recreates upright Code 128, EAN-13, ITF-14, QR, and English text. Fonts and positions are approximate. If a code is not read, try a clearer image or use + Add barcode value manually. For a manually added barcode or QR block, change its Code format in the editor.

Recognition runs on your device. Imported values keep any prefix already encoded in the original; ShipHero switches start off to avoid adding it twice.

07 / OUTPUT

Download and print at the right size

Choose PDF for exact physical page dimensions and bulk printing. Choose PNG when you need an image; its pixel dimensions depend on the selected DPI. Use the resolution appropriate for your printer—203, 300, or 600 DPI.

  1. Match the printer’s paper or label size to the dimensions in the app.
  2. Print at Actual size or 100%. Turn off Fit to page and extra browser headers/footers if offered.
  3. Print one label. Check its measurements, text readability, and a scan with the device you will use.
  4. Once the test is correct, print the remaining labels.

Single labels also offer Print as the output mode. Downloads go to your browser’s configured download location, often the Downloads folder—not automatically to your desktop.

08 / EVERYDAY USE

Install the app and work offline

A progressive web app is this website installed as an app shortcut. Click Install app for the available installation options. On Mac Safari, use File → Add to Dock; on iPhone or iPad Safari, use Share → Add to Home Screen.

Open the generator online and wait for Ready offline before disconnecting. Label generation, CSV processing, recognition, and this guide are then available offline in that browser.

When Update app appears, download any completed files, then choose Update and reload. The app restores label inputs, CSV rows, and settings; generated files must be downloaded first or regenerated.

Saved layouts and recent jobs live on this device. Clearing browser data can remove them. Export important layouts and keep your source CSVs. Download again in Recent Jobs regenerates output from the saved job; some older jobs may require the original CSV.

09 / QUICK FIXES

Something not looking right?

The barcode is too wide or won’t scan

Reduce the code’s overall size, shorten the value if your workflow allows it, or choose a wider label. Making a long value very small can make its bars hard to read. Keep clear margins and test a printed scan. Use QR only if your workflow supports it.

Bulk generation is slow or stops

Choose PDF and reduce the labels per file. If the job reaches its output limit, download completed files and split the remaining rows into a smaller CSV. Keep the app open while generating. PNG files, high DPI, and large label dimensions require more memory.

Every label has the same text or barcode

Check the block’s link setting and the Linked badges. Fixed content stays the same on every label. Choose Use a data field to make fixed content variable, or Make independent to separate linked values. Match the field to the appropriate CSV column, then preview several rows.

My imported label doesn’t match exactly

Check the full label dimensions, crop, orientation, and recognized values. Text styles are estimates. Adjust font style, text size, bold, italic, alignment, and block positions in the editor before saving.

My saved configuration is missing

Use the same browser and device where you saved it. If you have an exported .label.json backup, open Saved layouts and choose Import a layout. A configuration is only kept after you click Save layout.

I don’t see a new feature

Go online and look for Update app in the generator. Download completed files before updating. If no update is offered, close all generator windows and reopen it online.
